Inbox AI: Voice Automation for Mac
Inbox AI is a Mac app for building AI-assisted workflows around voice, text, email and local content. The publisher's overview lists custom assistants, information capture, Apple Mail processing and actions that connect to other tools. It is more configurable than a single-purpose dictation box.
Choose the trigger and action
A hotkey can start a voice conversation or open a chat window. Other listed triggers include selected screen content, incoming email, watched folders and callback URLs. Choose the trigger around the task you want to perform, rather than giving an assistant broad access without a defined purpose.
The action list includes summarizing or extracting information, asking the AI to choose among options and grouping multiple actions. Workflows can also open apps, run macOS Shortcuts, make API requests and execute terminal commands.
Those last capabilities can change external or local state. Inspect the actions and their inputs before using them on important files or communications. Begin with a preview or a low-risk task, and check how an incomplete input affects the next step. These are evaluation suggestions, not a report that we ran the app.
Connect email and capture workflows
The Apple Mail integration can flag, color or move messages and extract tasks. The page also describes sending tasks to tools such as Notion, Obsidian and Tana, with native output to Apple Reminders and the clipboard.
Distinguish drafting a reply from sending it, and a task suggestion from changing the destination system. Review whether a workflow includes a confirmation step before it acts on a customer's message or moves mail into Trash.
MCP connections can expose additional tools such as databases, APIs and file systems. Limit connected resources to the task and review each server's permissions instead of assuming a protocol connection is inherently safe.
Separate the app license from AI use
The publisher advertises a one-time purchase and a seven-day trial. It supports bringing your own API keys or using local on-device models. The page names Ollama and LM Studio for local models, alongside cloud providers.
A one-time app purchase does not establish free unlimited use of a separately billed model provider. Likewise, the local workflow claims should not be applied to a configuration that sends content to a cloud API. Check the selected provider, credentials and data handling before supplying private emails or screen content.
